Booking import

Bring in bookings made anywhere

Your team books in the GDS, on airline sites and by phone. TripDesk365 brings those bookings into one register: paste a GDS screen, upload an e-ticket, or forward the airline's email to your agency's own address. It reads the flights, travellers and ticket numbers into a draft, and a person on your team checks the draft and creates the booking.

Nothing is booked, changed or cancelled by reading a document.

Three ways in

Paste it, upload it or forward it

Paste a screen or an email

Paste a GDS screen such as a Sabre or Amadeus PNR display, an airline confirmation, or the text of an e-ticket. Up to 100,000 characters, one booking at a time.

Upload a file

A PDF e-ticket or itinerary, a JPEG or PNG screenshot, or a CSV or text file, up to 10 MB. The file is encrypted while it waits and is filed on the booking when the booking is created.

Forward to your own address

Each agency has a private forwarding address. An email that names exactly one of your bookings has its files filed on that booking. Anything else waits in your Inbox, where it can be imported in one step.

Smart Import reads, a person decides

  1. Read. Smart Import reads the document with an AI model. It is asked to copy only what the document states, never to guess, and to treat any instructions written inside the document as data.
  2. Check. TripDesk365 checks every value against its format and against its airport table, and applies each airport's time zone to the local times printed. A value that fails is dropped with a warning, never repaired into something plausible, and each problem lowers the confidence score shown with the draft.
  3. Decide. A person picks the client the booking belongs to, reads the warnings and presses Create, or discards the draft. If the record locator or a ticket number is already on one of your bookings, the draft links to that booking and is not created twice.
  4. Use it. The booking joins your register with its flights, travellers and ticket numbers, the uploaded file on it and the client's booking fields at their defaults. From there it gets itineraries, the travel map, disruption handling and reporting like any other booking.

Anyone whose role may create bookings can import. Drafts carry travellers' names, so seeing them needs a role that may read names.

What it reads, and what it never reads

Read from the document

  • The booking: record locator, airline and supplier confirmation numbers, validating airline and issue date.
  • Each traveller: name, passenger type, 13-digit ticket number and frequent flyer number.
  • Each flight: airline and flight number, operating airline, booking class, cabin, airports, and the local dates and times as printed.
  • A fare total, if one is printed. It stays on the import record as what the document said, and is never added to the booking's accounts.

Never read

  • Passport numbers, dates of birth, email addresses, phone numbers and payment card numbers. They are not in what Smart Import is asked for, and it is told to leave them out even when they are printed. Your team adds passport and contact details on the booking page, where each is protected by its own permission.

Import reads flights. A hotel or car confirmation does not become a booking on its own, though a forwarded one is filed on the booking it names. A document that cancels a booking creates nothing: cancel the booking itself.

Your agency's forwarding address

  • Private. The address is unguessable. Your administrator can replace it in one click, and the old one stops working at once.
  • Per client if you like. Add +CODE before the @ to match an email only against one client's bookings.
  • Checked on arrival. Mail is received by our email provider and accepted only when its scan finds no spam or virus and the sender passes SPF or DKIM. Refused mail is listed but never opened, and mail to an address we do not know is dropped without a reply.
  • Filed, never acted on. An email that names exactly one of your bookings, by our booking reference or the airline record locator, has its PDF, JPEG and PNG attachments filed on that booking. An email never changes booking data: a forwarded message saying a flight moved does not move it.
  • Kept for 30 days. Anything else waits in your Inbox, where a person can file it on a booking, import it, or dismiss it, which deletes it at once. After 30 days it is deleted with its raw copy. Only an email's text is kept, never its HTML.

Attach passport and visa copies on the booking page rather than by email: files that arrive by email can be seen by everyone who can see the booking.

Questions

What agencies ask about import

Who reads our documents?

An AI model from our AI service provider, under commercial terms that do not allow the provider to train its models on your data. Only documents your team chooses to import are sent. An email that matches a booking is filed by its reference without being read by Smart Import. Our service providers are described in our Privacy Policy.

Can Smart Import create or change a booking?

No. What it reads is stored as a draft and nowhere else. A booking exists only after a person with permission to create bookings presses Create.

Can we type a booking in by hand?

Not field by field. Paste the booking's text from your GDS or an email and check the draft. That is usually quicker than typing it.

Is there a limit?

Reading runs under a monthly spending limit. If it is reached, importing pauses and the Imports page says when it resets. Forwarding and filing emails is not affected.

What happens to drafts nobody decides?

They are deleted after 30 days, with any uploaded file. A discarded draft is deleted at once.

Send us a few confirmations

Forward or paste a handful of recent bookings before the demo, and we will import them with you and show you what your team would check.
